Financial Policies

At Oak Hills Women's Center, P.A., we strive to be practical and reasonable in every way, including our fees, which are based on a percentage of the usual and customary fees established in our area of specialty. Payments for services are due at the time service is rendered. We accept Visa, Mastercard, and American Express. We will be happy to help you process your insurance claim for your reimbursement.

We accept most PPO managed care health plans and will accept assignment of insurance benefits for those plans with which we are contracted participants. Please understand that all charges are your ultimate responsibility whether your insurance company pays or does not pay. Not all services are considered a covered benefit in all contracts. It is to your benefit to know in advance what services your own policy will cover.

Co-payments and unpaid deductibles will be due at the time services are rendered. You will then be billed for any remaining account balance after your insurance has paid its portion.

We understand that temporary financial problems may affect timely payment of your balance. We encourage you to communicate any such problems to us, so that we may assist you in management of your account.

Medical Records

We use an electronic medical record system to maintain patient information. All files are confidential and kept in accordance with HIPAA rules and regulations. Paper copies of your records (lab, x-ray, procedure reports, etc.) can be made available to you upon written request. We will also readily send copies of them to other physicians or medical facilities, upon your written request, for a nominal charge. No information from your file is relayed to anyone else without your written consent.

Cancellation Policy

If you need to cancel or reschedule an appointment, we ask that you give at least 24 hours notice if possible. This allows us to manage our office schedule more efficiently, and also makes it possible to see a patient who has an acute problem, but might otherwise have been unable to get an appointment on that day. Any patient who fails to keep her appointment without prior notification to the office will be charged a no show fee. Three or more such occurrences may be cause for termination of care through our office.

Privacy Policy

We are required by law to maintain the privacy of, and provide individuals with, a notice of our legal duties and privacy practices with respect to protected health information (PHI). At the initial office visit, each patient will receive this notice which will describe how medical information about her may be used and disclosed, as well as how she may obtain access to this information. Each patient will be asked to acknowledge that she has received a Notice of our Privacy Practices. A copy of the form may be provided to each patient upon her request.
